The Office of Residence Life at Snow College seeks a welcoming fast paced permanent part-time Office Manager that is fun, energetic and hardworking. This position requires a candidate that works well with databases, accounting, and organization. The Office Manager reports directly to the Director of Residence Life and coordinates regularly with both student staff and the Coordinators with the Office of Residence Life. As successful candidate would be customer services oriented, willing to take on new tasks, familiar with basic accounting and willing to help students and parents from start to finish on selecting on-campus housing for their college experience.  

  • Must be able to perform all responsibilities and functions of the position
  • High School diploma and/or GED equivalency and two years of office related experiences
  • Strong written and verbal communication, interpersonal, organizational and time management skills
  • Strong customer services skills (must be easily approachable, friendly, and able to establish rapport and communication effectively with students, parents and departmental stakeholders)
  • Experience in the following:
    • General office and administrative support work to include in-person and telephone contact duties
    • Moderate computer systems and operation
    • Experience utilizing Microsoft Word, Outlook (email/calendar), PowerPoint and Excel
  • Preferred experience in the following:
    • BANNER 9
    • Accounting
    • Maxient
    • StarRez
Major Responsibilities/Duties:
  • Responsible for ensuring a welcoming environment at the main desk through trained personnel, well-stocked/attractive brochure displays, and clean/organized environment
  • Oversees the opening and closing of the main office. Serves as the main point of information regarding housing applications, tours and data processing
  • Responds to inquiries, questions and concerns from student and parents and triages them to others when necessary
  • Schedules appointments and meetings for office staff
  • Answer phone calls, questions, messages and emails to the main office
  • Activates and programs student ID cards (i.e. creates new cardholders, permits access to assigned buildings, etc.)
  • Completes purchasing card reports, complies balances and maintains spreadsheets for Residence Life accounts (including in BANNER database)
  • Processes purchase orders, budget transfers, requisitions, check request and travel arrangements
  • Manage damage billing and appeals processes with students
  • Process all forms utilized within the office and adjust student accounts with charges
  • Maintains appropriate office and department records, files and keys
  • Maintain all appropriate documentation related to housing and residence life (i.e. forms, correspondence, outreach, etc.)
  • Train Resident Directors of office procedures and protocols
  • Conduct purchases using a company card for office supplies, resident assistant programs and travel
  • Maintain all office equipment
  • Generate agendas for staff meetings, schedules rooms and update staff outlook calendars
  • Update StarRez and Maxient databases (if hired candidate will be trained on the usage of these databases)
  • Send out campus and housing information to students

Additional Responsibilities:

  • Monitor Residence Life webpages and make necessary edits
  • Maintain student storage system with spreadsheet and forms
  • Assist summer programs with the programming of keycards, processing of damages and invoicing
  • Assist Director of Residence Life with confidential information for student conduct hearings through data entry into Maxient
  • Project assistance for the Director of Residence Life
